Basic Search

Overview

Basic search allows users to search site records and related data across the system. To access basic search, click the global search bar and select the Basic Search option.

Performing a Basic Search

To perform a basic search, enter text or numbers into the global search bar. Up to ten matching site records and related data are instantly displayed.

Example basic search results

Click a site name to open it. If the site has any in-process or active permits, clicking the permit number opens the corresponding permit record.

Available Search Fields

Though supported search terms may vary based on configuration, the following fields are typically indexed for searching:

  • Site Name

  • Site Address, City, and Zip Code

  • Site Alternative Name

  • Site SIC/NAICS Code

  • Permit Number (active permits only)

  • Submission Reference Number

Search Criteria, Scoring, and Ranking

Basic search uses a scoring mechanism to rank results based on how closely they match the search terms. Entering multiple words increases the likelihood of returning the desired site—provided those words appear in the site name. Each matching word contributes to the search score: the more matches, the higher the score, and the higher the site appears in the results list.

For example:

  • Entering “Windsor” returns all sites with “Windsor” in the name. Each of these sites receives a score of 1.

  • Entering “Windsor Solutions” returns sites with “Windsor,” “Solutions,” or both in the name. Sites with only one match receive a score of 1; sites with both receive a score of 2 and rank higher in the results list.

In addition to site names, basic search also checks for matching identifiers, such as Permit Number or Submission Number. Because these identifiers are unique, entering one returns the related site at the top of the results list.

Partial Name/Text Matching

By default, basic search matches full words. For example:

  • “Windsor” returns sites with “Windsor” in the name.

  • “Wind” does not return sites with “Windsor” in the name, because partial matches are not performed by default.

To perform a partial search, add an asterisk (*) at the end of a word. For example:

  • “Wind*” returns sites with “wind” in the name, such as “Windsor” or “windmill.”

Advanced search is recommended for broader or more targeted queries.

Extended Search

If basic search does not return the desired site, click the View More Results link at the bottom of the results list.

This opens the Organization/Person/Site Search page, which provides an extended list of sites that match the search criteria. For information about actions that can be taken from this list, see the Working with Sites page.

Advanced Search

Advanced search allows users to search for sites based on specific field values. To access advanced search, click the gear icon next to the search bar on the Organization/Person/Site Search page.

Clicking the search bar on the Advanced Search page opens an advanced search panel where users can enter additional criteria to narrow results.
