Assigning Submissions to External Users
Overview
External users can be assigned to specific submissions to allow them to start and edit them.
Assigning Submissions to External Users
To assign one or more external users to one or more submissions:
Navigate to the Submissions page using the site navigation menu.
Click the Assign Users to Submission button to open the Submissions - Form Assignment page.
The button only appears if the following conditions are met:
The current user is an internal user or an external site administrator.
At least one submission is in Not Started or Draft status.
At least one external user has the Viewer role, which is restricted by default from starting or editing submissions.
Select submissions to assign using the checkboxes, or use the checkbox at the top of the list to select or deselect all records.
In the Authorization Queue panel, select users to assign from the Authorized Users field.
Click the Save button.
Upon saving, the selected assignees replace all previously assigned users for the submission.
To assign a non-schedule submission, such as an application or permit change, an internal user or external site administrator must first start the form. This creates a draft submission, which then appears on the Submissions page.
To return to the Submissions page, click the Exit Assignment Mode button. A person icon appears next to assigned submissions. Hovering over the icon displays the user or users currently assigned.
