Artificial Intelligence Features
Overview
Agencies can enable artificial intelligence (AI) features in nVIRO to enhance productivity. These features are disabled by default. Contact a Windsor project manager for pricing and availability.
Three features are currently supported:
AI submission review
nVIRO AI Assistant
AI summaries
AI Submission Review
AI submission review helps agencies accelerate the application review process by using configurable checklist rules and AI to pre-screen incoming submissions. Instead of starting each review from scratch, staff can see a structured summary of potential issues and completeness gaps as soon as a submission is received, allowing them to focus on items that genuinely require attention.
How It Works
Agencies create checklist rules for nFORM forms in the Form Designer. Each rule defines what a complete or compliant submission should include—for example, “Application narrative addresses all required topics” or “All supporting documents are attached and legible.”
When an applicant submits a form, nVIRO packages the submission data, uploaded attachments, and configured checklist rules, then sends them to an AI service for evaluation. The AI reviews each rule against the submission content and returns a status with written observations for every rule. Results are saved to the submission record and are available immediately as staff begin processing.
This means reviewers no longer need to manually perform completeness checks before starting substantive review. The AI completes the initial screening pass, flagging missing files, incomplete responses, or unclear information so staff can act on it right away.
Viewing Results
Results appear in the AI Submission Review panel on the right side of the Submission Review page—the same page where staff review the form, add notes, and create correction requests. Results are available when the submission is in Locked for Review status (for more information on submission reviews, see the Submission Correction Request Process page).
The panel includes filter tabs—All, Non-Compliant, and Compliant—with result counts so reviewers can quickly narrow their focus. Each result displays the following:
Rule name
Status
Summary of the AI’s findings
A “Reasoning” dropdown, which can be expanded to view a detailed explanation of how the AI arrived at its determination, including references to specific pages, sections, or content within the submission and its attachments
A “Sources” dropdown, which can be expanded to show which parts of the submission the AI referenced
Because the AI Submission Review panel appears alongside the submission, reviewers can immediately compare the AI’s findings with the actual submission data and attachments. This is especially useful during the administrative completeness check: the AI flags potential gaps, and the reviewer can confirm issues and create correction requests in a single pass without switching screens.
nVIRO AI Assistant
The nVIRO AI Assistant is a chat tool that supports internal users in two key areas:
nVIRO software features and capabilities
Agency-specific information drawn from forms configured in the agency’s nVIRO instance
The assistant references the public Windsor Product Support Wiki to answer questions about platform functionality. It is also trained on the agency’s full inventory of nFORM forms. Because these forms contain program-specific data requirements and instructions, the assistant can help users complete tasks such as applying for or renewing permits and submitting reports.
Accessing the nVIRO AI Assistant
To access the nVIRO AI Assistant, click the “sparkle” icon in the main navigation menu (for more information on the main navigation menu, see the Getting Around the Platform page).
This opens the nVIRO AI Assistant chat window. Ask any question to begin.
AI Summaries
AI summaries provide an overview of any functional area record in nVIRO, such as a site, permit, evaluation, or compliance action.
There are three types of AI summaries:
Overview: A high-level summary of the record, including workflows, events, contacts, and status
Next Steps: Outstanding workflows and tasks related to the record
Compliance: Violations and compliance issues related to the record
Accessing AI Summaries
AI summaries are available on the My Tasks dashboard, search pages, and site-specific list pages, such as a site’s Permits or Submissions page.
On these pages, a “sparkle” icon appears next to each record.
Clicking these icons opens a dialog with a summary of the selected record.
To switch between summary types, click the dropdown icon in the summary header.
