Limiting Access to Forms and Submissions

Overview

nVIRO offers two different options for limiting access to a form or submission:

  • Using the Form External User Security Level setting

  • Assigning schedules or draft submissions directly to an external user

Setting Form External User Security Levels

Forms can be configured to restrict access to internal or external users using the Form External User Security Level setting. This setting is managed on the Form Details page.

Granting Access to Restricted Forms

If a form’s Form External Security Level is set to “Restricted,” access must be granted on a case-by-case basis.

To grant access:

  • Navigate to the Edit User Role page for a specific external user. If a restricted form exists, a Restricted Form Access section appears at the bottom of the page.

  • Open the Add/Remove Forms tab.

  • Select the checkbox next to each form for which access should be granted.

  • Click the Save button. The selected form(s) will appear on the Approve Forms tab in Pending status until an internal user approves or denies the request.

Assigning Schedules or Draft Submissions to an External User

Schedules and draft submissions can also be directly assigned to an external user. This can be helpful, for example, if a contractor needs to complete a specific submission but should be restricted from creating or modifying any other submissions for the site.

Only external users assigned the Viewer role for a site can be assigned a schedule or draft submission for it.

To assign an external user to a specific submission or schedule:

  • Navigate to the Submissions page for a site.

  • Click the Assign Users to Submissions button.

The button only appears to users who have appropriate permissions to perform this task. If the button appears but is disabled, there are no active viewers on the site to whom submissions can be assigned.

  • Select the checkbox next to the submission to be assigned. This opens the Authorization Queue panel.

  • Select users to assign or unassign to the selected submission(s).

  • Click the Save button. An icon will appear in the Assigned Users column of the Submissions page indicating one or more users have been assigned to the submission. Hovering over the icon will display the list of assigned users.

  • Click the Exit Assignment Mode button to close the Authorization Queue.
