Processing Requests from External Users to Join a Site
Overview
Registered external users can directly request access to join a site. These requests are processed by internal or external users with appropriate privileges.
Requesting Access to Join a Site
Users must have an nVIRO account and be logged in to request access to a site. For more information, see the Creating External User Accounts (Regulated Community) page.
To request access to join a site as an external user:
Upon logging into nVIRO, go to the Managing Information for an Existing Facility, Project, or Site section on the Welcome page.
Click the link open nSITE Explorer. (The link text and location may vary based on configuration.)
Search for the site. When it appears in the search results or on the map, select it by clicking the site name or the map pin. The Site Profile panel will then appear.
Click the Claim this Site button.
When prompted, enter a name, email address, and phone number, then click the Submit button.
Processing Requests to Join a Site
When a request to join a site is submitted, a notification email is sent to external site administrators and internal site and permit managers indicating that a new request is ready for processing. The request can be processed in two ways.
Method 1: From the Admin Menu
This method can only be used by internal users with security administration privileges.
New requests appear on the Access Requests page (Admin > Access Requests) in Pending status. To locate a specific request, use the search bar at the top of the page or the filters at the top of each column.
To review and process a pending request:
Click the Open button on the request. This opens the Approve/Deny Access Request page.
Review the information, then select either the Approved or Denied option from the Request Status dropdown field.
If the Approved option is chosen, the Role field and Approve Certifier Status checkbox appear. Complete these fields and add any necessary comments in the Agency Processing Comments field. For more information about certifier status, see the CROMERR and Electronic Signatures in nVIRO page.
Click the Save button.
Method 2: From the Site Authorized Users List
This method can be used by any internal user, as well as external users with an Administrator role on the site. This allows external site administrators to manage processing and reduces the burden on agency staff.
In addition to the Access Requests page, new requests also appear on the site dashboard and Users page.
To view the site dashboard, select Dashboard from the site navigation menu.
To view the site Users page, select Authorized Users from the site navigation menu. This page lists pending access requests, pending invitations, and authorized users. For more information about invitations, see the Associating External Users with Sites page.
On the Users page, review the list of pending access requests. To deny access, click the Deny button. To approve access, select the user’s role and certifier status, then click the Approve button.
If the Administrator role is selected, the Approve Certifier Status checkbox is automatically selected.
Selecting the Approve Certifier Status checkbox sets the user’s certifier status to Pending or Approved, depending on system configuration. In some nVIRO implementations, this checkbox may not be displayed. For more information about certifier status, see the CROMERR and Electronic Signatures in nVIRO page.
