nSPECT Notifications

Overview

Notifications are triggered by specific events and can be configured or filtered by organization, inspection type, or form. Users can customize the notification message and identify specific recipients or use dynamic values to automatically notify the assigned inspector or reviewer.

Notification Triggers

Notifications may be prompted by any of the following triggers.

Trigger

Description

Bulk Inspection Assigned

A notification is triggered when multiple inspections are bulk assigned.

Bulk Inspection Deleted

A notification is triggered when multiple inspections are bulk deleted.

Bulk Inspection Scheduled

A notification is triggered when multiple inspections are bulk scheduled.

Inspection Completed

A notification is triggered when an inspection is marked Completed.

Inspection Removed

A notification is triggered when an inspection is removed.

Inspection Reviewer Changed

A notification is triggered when a new reviewer is selected or the existing one is changed.

Inspection Scheduled

A notification is triggered when a new inspection is created in nSPECT.

Inspection Sent for Review

A notification is triggered when the inspector requests a review for an inspection.

Creating a Notification

To add a new notification, select the Notifications option from the Administration dropdown list, then click the New Notification button. This opens the Notification Details page, where details related to the new notification can be entered.

The following fields appear on the page.

Event Trigger

The event that triggers the notification.

For more information on available triggers, see the Notification Triggers section above.

Filters

Fields in this section build upon one another. For example, if an organization and inspection type are set, a notification is only triggered if both match.

Organizations

Organizations that must be affected for the notification to be triggered.

Inspection Types

Inspection types that must be affected for the notification to be triggered.

Forms

Forms that must be affected for the notification to be triggered.

Recipients

Groups

Groups of users to be notified.

Email Addresses

Email addresses to be notified.

Each address must be separated by a line break.

Entering [inspector] and/or [reviewer] automatically emails the assigned inspector or reviewer.

Form Tags

Tags associated with form questions that include an email address.

Message

The following section lists dynamic values that can be added to the Subject and Message fields.

Subject

The subject for the notification email.

Message

The message body for the notification email.

Attach Inspection Report

The option to attach the inspection report to the notification email.

Save As

Notification Name

A descriptive name for the notification.

When all fields are complete, click the Save button.

Dynamic Notification Values

Dynamic values can be added to the Subject and Message fields. When the notification email is sent, these values are replaced with data from the inspection that triggered the notification.

The following dynamic values are available:

  • [SITE_NAME]

  • [SITE_KEY]

  • [INSPECTOR_NAME]

  • [REVIEWER_NAME]

  • [INSPECTION_DATE]

  • [REVIEW_REQUEST_DATE]

  • [COMPLETED_DATE]

  • [INSPECTION_KEY]

Editing a Notification

To edit an existing notification, select the Notifications option from the Administration dropdown list and click the notification name from the list displayed. Make the desired changes, then click the Save button.
