Configuring Automatic Permit Issuance (Instapermit)

Overview

nVIRO can be configured to automatically process submissions and issue permits. This enables the system to import the submission, assign the appropriate workflow, create and populate a draft permit, generate a permit document, and complete issuance.

Configuration

To configure nVIRO to automatically issue a permit upon receipt of a submission:

  • Create and/or configure a permit category for the permit to be created.

    • Configure it with a permit numbering scheme.

    • If applicable, set the permit dates to populate by default.

  • If needed, create and/or configure a permit type for the permit to be created and relate it to the permit category.

  • If needed, create and/or configure a document template for the permit document in the permit functional area.

  • Create and/or configure a notification template in the permit functional area to be used to notify the applicant and any other recipients of the new permit.

  • Create and/or configure a workflow template that will be added to the submission.

    • In the Permit Category to Create field, select the permit category created/configured above.

    • In the Permit Type to Create field, select the permit type created/configured above (if applicable).

    • In the Permit Document Template to Automatically Generate field, select the document template created/configured above (if applicable).

    • Select the Immediately Set Permit to Issued/In Effect checkbox.

    • In the Permit Issuance Notification Template field, select the notification template created/configured above.

  • Create and/or configure the application form.

    • Ensure an applicant contact is specified in the form design. The applicant will automatically become the permittee on the new permit.

    • Set the form to auto-import (bypassing the Inbox).

    • Set the form’s default workflow to the workflow template created/configured above.

Troubleshooting

If a permit created by an auto-issuance workflow template remains in Draft status and the associated submission and workflows are in In Process, one or more permit issuance validation rules are likely failing.

Any validation errors will show in the Permit History for the affected record(s). Often, this is caused by there being default schedules but no compliance workgroup or manager assigned to the permit. 

If an auto-issuance process fails, the remaining steps of issuing the permit and completing the associated submission and workflows/tasks must be done manually. The permit document must also be manually emailed to the permittee.
