Payment Flow & Integration with Third Party Processors

Paying Online

Paying by Mail

Subsequent Submission Versions and Adjustments

Payments can be made by an external user either online or by mail. The online payment process is integrated with a third party processor. Invoices can be found by navigating to the Financials Menu Item on the Site Menu.

Paying Online

Users can pay can multiple invoices at once or by individual invoice when paying online.

To pay multiple invoices at once, the checkbox should be clicked for each invoice that will paid. Once these invoices have been checked, the user will need to choose the Pay Selected: $XXX.XXbutton, which will automatically direct the user to the third party payment processor portal. Once processed, the payment processor will create a new receivable/invoice number which will be routed back to nCORE.

In order to pay an individual invoice, the above process can be followed for one invoice or the user can open the financial details for the subject invoice by selecting Open on the subject invoice.

Paying by Mail

Although multiple invoices can be paid at once online as described above, invoices paid by mail can only be done at the individual level. The user will need to navigate to the financial details page as shown in the above example. Rather than choosing Pay Online, the Pay by Mail option should be selected. This will display a payment voucher that can be printed to be filled out and mailed in.

Adding Late Fees, Adjustments, and Ad-Hoc Fees

Additional charges and/or corrections can be added to an invoice by an internal user. These may be in the form of adjustments to reconcile incorrect charges or discrepancies. They may also be used to allocate late fees, penalties, or any other ad-hoc charge to be added after the initial base charge.

This will allow the internal to indicate the Charge Item Type, Charge Item Date, Receivable Item Amount, & Receivable Item Comments.
