Overview

Submission packages allow related forms to be grouped together as a “package” of forms that may be submitted together by registered external users. External users may search and find form packages using the form search. Packages that are listed provide a “View Package” button (rather than a “Begin” button) to display textual information about the package and to list the forms available in the package. Once users have completed and submitted a form in the package, it is assigned a “Staged for Submission” status. When all required forms have been staged, the user is able to submit the package for processing.

Submission Package Configuration

A Submission Package is defined using a Form Set that has been specified as a “Submission Package”. This provides the capability to define a set of two or more forms that are entered and submitted together as the submission package. The submission package form set may consist of multiple nFORM forms and a SLEIS application ‘form’.

Multiple forms may be included in the package, and forms may be specified as either required or optional. The first form is always required.

Specific text may be configured for the package in order to provide a description or instructions to the external user.

Initiating Submission Package Forms

Once the Package is being viewed, the user can begin any of the forms within the package, and see the current form configuration for the package (e.g. the form is required as part of the package, optional as needed one time, etc.)

Forms that have been started for the package are displayed on the Dashboard and the Submission List.

Viewing and Starting a Submission Package

Form packages that are listed with have a “View Package” button rather than a “Begin” button.

Clicking View Package displays the submission package text/instructions and lists the forms in the package.

Clicking the Show/Hide Instructions button hides or displays submission package instructions.

Clicking Begin navigates the user to the corresponding form to complete, submit, and sign as required by the configuration. Forms that have been started for the package are displayed on the Dashboard and the Submission List.

External Dashboard

On the external dashboard, rather than each individual form within the Submission Package, any Package that is In-Progress or in Draft status will appear in the external user’s dashboard as a single card.

Continuing a

Each card will show:

  • The total number of forms in the package

  • The status of those forms

  • Whether any corrections have been requested

  • How many required forms within the package that are still required that have not been started

Continuing A Submission Package

Draft form packages and related forms may be continued by clicking Manage Package.

This displays the list of all forms in the submission package and their status. The overall status is displayed.

Clicking View navigates to the corresponding form for to allow the user to continue filling out and submitting the form. When a form has been submitted/signed, the form is assigned displayed with a “Staged” status, meaning it is awaiting submission of the overall package

When all required forms have been staged, the package may be submitted for processing. This is done by clicking Submit Package.

Upon clicking Submit Package, if no validation errors are found, clicking Submit submits the package and all staged forms are submitted to the agency.

Revising a Submission

Once the package has been submitted, individual forms may be revised as needed (e.g., to respond to a corrections request). External users revise a submission by clicking Manage Package for any form in the package to view the Manage Package page. Clicking the View or Revise button opens the corresponding form for viewing and revising the submission. Forms in a package designated as optional may also be started and submitted from the Manage Package page after the package is submitted.

Internal Processing

Submissions that are part of a submission package are processed internally in the same way as individual submissions. However, submission packages have additional functionality to aid in navigating between the forms contained in the package and to provide efficiencies when updating status.

Viewing Package Submissions

When viewing a submission that is part of a submission package, a dropdown selection field is available at the top of the submission page. This allows the user to toggle between any of the submissions that are part of the package. 

Submission Package Status

Submission Packages have their own status. The overall status of the submission package is listed in the right sidebar on the Details page for all submissions that are part of the submission package.

When internal processing for all submissions in the package is complete, the user may click Update Status to update the package status.

When updating a submission package to “Complete,” all of the submissions in the package are validated, and the combined validation results are displayed in the validation results list. If all submissions are valid, the submission package status is updated to “Complete,” and the status of each submission in the package is also updated to “Complete.”  

Permit Workflows 

A workflow that creates a new Permit, may only be added to the submission form that is specified as the primary (first) form in the package. This is to prevent confusion and the inadvertent creation of multiple permits from different forms within the package.
