My Tasks Dashboard

Overview

The My Tasks dashboard lists active work items and workflow tasks. To access the dashboard, click the My Tasks link in the main navigation bar.

Searching for Tasks

By default, the My Tasks dashboard shows all work items where the current user is either the processor or a task assignee. However, internal users can search for other items and tasks by functional area, assigned workgroup, and assigned user.

Only functional areas that support workflow and task assignments are available for selection. These include:

  • Application/Request

  • Chemical Criteria

  • Complaint/Incident

  • Compliance Action

  • Cons. Easement

  • Environmental Project

  • Evaluation

  • Financial Instrument

  • Schedule

  • Schedule - DMR

If “(All)” is selected in the Assigned Workgroup field, a user must be selected in the Assigned User field. If “(All)” is selected in the Assigned User field, the Assigned Workgroup field must be set to a single workgroup, “(My Workgroups),” or “(Unassigned).”

“Show only tasks assigned by other processors”

When selecting an assigned user, a checkbox labeled “Show only tasks assigned by other Processors” appears. Checking this box limits the results to tasks where the specified user is not the primary processor or record owner. 

For example, imagine Mary is the processor for Application A and has assigned several tasks to Danielle. Danielle is the processor for Application B and has assigned tasks to herself and others. 

If Danielle views the My Tasks dashboard and selects herself from the Assigned User field:

  • If the Show only tasks assigned by other Processors checkbox is not checked, then both Application A and Application B appear in the results.

  • If the Show only tasks assigned by other Processors checkbox is checked, then only Application A appears in the results.

Viewing and Managing the Dashboard

Selecting Columns to Display

Users can show or hide columns based on their needs.

To select columns, open the Select columns to display dropdown. Select the checkbox next to each column to display. Clicking the Show All button will select all columns, and clicking the Reset button will restore the default column selections.

Configurable columns that are common among functional areas are described below.

Site Name

The name of the site to which the item relates.

 

Site Alternative Names

Alternative names for the site to which the item relates.

 

Item Name

The name of the item in progress.

Specific information displayed in this column varies by functional area:

  • Application/Request and Complaint/Incident: Form name and source permit number (if applicable). If a draft version exists, a “Draft” label and a brief description also appear.

  • Compliance Action: Compliance action type and source permit number (if applicable).

  • Cons. Easement: N/A.

  • Environmental Project: Project activity type.

  • Evaluation: Evaluation type and source permit number (if applicable).

  • Financial Instrument: Financial instrument type and source permit number (if applicable).

  • Schedule: Schedule group, schedule name, and source permit, compliance action, or project activity number.

  • Schedule - DMR: Permit number, period, and due date.

Reference Number

The item’s reference number.

 

Primary Contact

The primary contact for the item.

The primary contact varies by functional area:

  • Application/Request: Applicant

  • Complaint/Incident: Complainant

  • Compliance Action: Responsible party

  • Cons. Easement: N/A

  • Environmental Project: Responsible party

  • Evaluation: Inspection contact

  • Financial Instrument: Applicant

  • Schedule: N/A

  • Schedule - DMR: N/A

Assigned User

The item’s primary processor.

 

Status

The current status of the item.

Specific statuses vary by functional area.

Only items in draft or active statuses appear on the My Tasks dashboard. nVIRO can be configured to exclude items in certain active statuses (such as Issued or Entered). Note this is a system-wide configuration.

Pending compliance actions are always displayed.

Item Comments

Notes about the item.

Comments may be updated directly from the My Tasks dashboard without opening the item record.

Submission Columns

Configurable columns that are specific to submissions are described below.

Priority

The priority level of the submission.

This column may or may not be applicable, depending on form configuration.

Received Date

The date the submission was initially received.

 

Latest Version Received Date

The date the latest version of the submission was received (for submission revisions).

 

Administrative Complete Due Date

The date the submission was deemed administratively complete.

This column may or may not be applicable, depending on the submission type.

Public Notice End Date

The date a related public notice event is/was scheduled to end (if applicable).

 

Processing Due Date

The target due date by which the submission should be completed.

 

Site Inspection Scheduled Date

The date a related site inspection event is scheduled to be conducted.

 

Amount Due

The total outstanding fee amount for the submission.

Project Columns

Project Activity Category

The category of the project activity.

This column is only applicable to environmental projects.

Project Activity Start Date

The start date of the project activity.

 

Project Activity End Date

The end date of the project activity.

 

Task Columns

Task columns display the next task that is either not started or in progress for each functional area record. If the My Tasks dashboard is filtered to display the current user’s tasks, the next task assigned to that user is listed.

Configurable task columns are described below.

The name of the next task, the assigned user’s name (if assigned), and the task status.

If the task is in Unstarted or In Process status and the current user has appropriate permissions, a Mark Complete button also appears.

Next Task Due Date

The due date for the task (if applicable).

Comments may be updated directly from the My Tasks dashboard without opening the task record.

Documents linked to the next task.

 

Working on a Task from the My Tasks Dashboard

To work on a task from My Tasks dashboard, first select the following columns from the Select columns to display dropdown:

  • Next Task

  • Next Task Due Date

  • Next Task Comments

  • Next Task Documents

The following actions can be performed from within the task columns:

  • Open a Task: Click the task name hyperlink in the Next Task column to open the task’s Details page in a new browser tab.

  • Mark a Task Complete: If a task is in Unstarted or In Process status and the current user has appropriate permissions, a Mark Complete button appears in the Next Task column. When the task is marked complete, the list refreshes to show the next open task. If the user has no other open assigned tasks on that record and is not the record’s primary processor, the entire row is removed from the dashboard.

  • Add or Update a Task Comment: To add a comment to a task, click the button with the speech bubble icon in the Next Task Comments column. Once added, the comment will display in the column. Click the button again to edit it.

  • View a Linked Document: If a document has been linked to the task, the Next Task Documents column displays the document name as a hyperlink. Clicking the link opens the Document Details page.

Exporting the Task List to a CSV File

To export and download the tasks list as a CSV file, click the Export List button.
