Working with Permits
Searching Permits
Permits can be searched through global search or the navigation menu when viewing a site.
Searching Permits Using Global Search
Click the global search field and select the Permits topic to open the Permits Search page. For more information on global search and search pages, see the Search by Topic page.
The Permits Search page allows permits to be searched by criteria such as permit number, permit category and type, and permit status.
Use the sort buttons or filters at the top of each column to locate a specific permit. When using a filter, the list dynamically updates to display all permits that match the entered value.
Click a row to view or edit details for that permit.
Permit categories may be configured to support the use of an alternate permit number. In such cases:
The alternate permit number is displayed in the list enclosed in parentheses below the permit number.
The permit search field supports searching for both the permit number and the alternate permit number.
The alternate permit number is displayed on external users’ Permits Search page and Permit Details pop-up window upon permit issuance.
Searching Permits Using the Site Navigation Menu
When viewing a site, click the Permits option in the navigation menu to view the site’s permits. Click a row to view or edit details for that permit.
Creating a New Permit
External users cannot directly add a permit to nVIRO. Since permits are the result of some triggering event, like receiving a permit application from an external party, permits are created in nVIRO by adding a workflow to a submission. The selected workflow template creates a new permit.
If configured, an internal user with appropriate permissions may bypass the submission process and create a permit. For more information, see the Creating a Permit Without Submitting a Form page.
Modifying an Active Permit
A modification creates a new version or revision of the permit. For more information on permit versions and revisions, see the Permits and Authorizations page.
Like new permits, permit versions and revisions are primarily created by adding a workflow to a submission. The selected workflow template creates a new version or revision of an existing permit. Note that only active permits can be versioned or revised.
If configured, an internal user with appropriate permissions may bypass the submission process and modify an active permit. For more information, see the Initiating a Permit Change Without Submitting a Form page.
Editing a Draft Permit
Draft permits or permit versions can be edited if the user has the appropriate permissions, either through permit assignment, task assignment, or security roles. Draft permits can be accessed using global search or the site navigation menu, as described above. They can also be accessed from the application via the link in the application details.
Terminating or Deactivating a Permit
Like other permit actions, terminations are triggered by adding a workflow to a submission. The selected workflow template unlocks an active permit for editing. To terminate a permit, change the permit status to Terminated and enter the termination date. If the termination date is on or before the date of entry, the status is updated immediately upon saving. If the termination date is in the future, the permit remains active until that date, at which point the status is automatically set to Terminated.
When a permit is terminated, any schedules that were due after the termination date are automatically set to Closed status. Any schedules due before the termination date can still be submitted.
Permit Permissions
Permits are typically only editable in Draft status. Once a permit becomes active, its details can no longer be modified.
For non-administrators, a permit is editable based on the user’s assigned roles:
Basic Level Permissions: The permit is in Draft status, and the user is either the assigned processor or has an assigned task on an active submission related to the permit.
Workgroup Level Permissions: The permit is in Draft status, and the user is a member of the same workgroup as the assigned processor for an active submission related to the permit.
The following special permissions allow for additional rights:
Permit Status Administrator: Can change the status of any permit, such as from inactive to active.
Permit Compliance Manager Editor: Can change the compliance manager for any permit, regardless of its status.
