Viewing and Editing Financial Details

Overview

Financial records can be viewed on the Financial Details page. Available information includes:

  • Individual charges and fees, including adjustments, late fees, administrative fees, and penalties

  • Payments and electronic settlements

  • Payment adjustment requests

Authorized users can also add charges and record payments or refund requests on this page.

Navigation Tabs

The following navigation tabs appear across the top of the Financial Details page.

This page focuses on the Details tab.

Tab

Description

Notes

Details

Details regarding charges, payments, refunds, and other information.

 

Documents

Documents related to the financial record.

This often includes an invoice or other user-uploaded documentation. For more information, see the Viewing Invoice Documents section of the Working with Invoice Sets page.

Violations

Violations related to the financial record.

This tab is only visible if the fee category related to the charge is configured to allow violations.

Details Tab 

Fields available on the Details tab are described below.

Summary

Total Charges

The total of all charges for the financial record.

This total includes both fees and adjustments.

Payments, Refunds

The total of all payments and refunds for the financial record.

 

Amount Due

The total outstanding charge amount.

This is calculated by subtracting the Payments, Refunds value from the Total Charges value.

Due Date

The date payment is due.

This date set during invoice generation.

Charges

Type

The charge category.

Options include base charge, adjustment, interest, late fee, submission fee, and penalty.

Date

The date the charge was assessed.

 

Amount

The charge amount.

 

Comments

Notes about the charge.

 

Payments, Electronic Settlements

If a balance is due, external users see a Pay Online or Pay by Mail button next to the table title in this section.

Type

The transaction type (such as payment).

 

Date

The date of the transaction.

 

Status

The status of the transaction.

 

Amount

The transaction amount.

 

Confirmation

The confirmation number for the transaction.

This may be automatically generated for electronic payments or entered manually for checks.

Payment Adjustment Requests

Adjustment Type

Type of adjustment request (payment or refund).

 

Date

The date the adjustment request was made.

 

Status

The status of the adjustment request.

 

Amount

The adjustment request amount.

 

Confirmation

The confirmation number for the adjustment request.

This may be a check number or external system reference or identification number.

Right Sidebar Controls

The following fields appear in the right sidebar of the Details tab.

Charge Status

The status of the charge.

Statuses include Due, Paid, Waived, and Pending.

Site

The name and address of the site to which the charge relates.

 

Associated With

The permit or compliance action to which the charge relates.

 

View History

An audit of changes made to the financial record over time.

 

Editing Charges and Payments

Charge amounts cannot be edited or deleted. To correct or offset a charge, a new adjustment charge item must be added. To accommodate this, the system must be configured to allow negative adjustments. (The database table REF_RECVBL_ITM_TYPE must have column IS_NEGTV = 1 where the code is ADJMNT).

Payment amounts can be edited to make corrections. However, if a payment needs to be set to zero, the system must be configured to allow it. (The deployment setting RCPT.ALLW_ZERO_PAYMENT must be set to 1).
