Site Preferences

Overview

The Preferences tab of the Site Details page is used to configure preferences related to invoicing, external access, and data purging for the site.

Paperless Invoices Preferred

The option to indicate that the site prefers to receive invoices electronically rather than by mail.

This field is available to external users with Admin or Edit roles when paperless invoicing is enabled.

This preference may be overridden at the fee category level for fees that must be mailed. For more information, see the Fee Categories page.

When selected, the site’s invoice documents cannot be downloaded or printed from the Document Set Details page, helping prevent accidental mailings. For more information, see the Document Sets page.

Prevent External Access

The option to prevent external users from accessing the site.

This may be helpful if the site record should never have external accounts related to it.

Exempt From Site Purge

The reason that the site is exempt from purge rules.

If no reason is selected, site data may be periodically purged based on record retention rules. For more information, see the Record and Document Retention and Purging page.

When a site has been exempted, the selected reason is displayed under “Alerts” in the right sidebar of the Details tab.

This is useful if no records for a site should be purged—for example, due to a litigation hold (also known as a preservation order), FOIA request, or historic significance.
