Alerts

Overview

Alerts highlight important information about a site or any related sites included within a portfolio. They appear in the right sidebar of the detail pages for sites, submissions, permits, evaluations, and compliance actions.

System alerts automatically notify users of key issues, such as outstanding balances, open compliance actions, or expired permits. In addition, alerts can be added manually to flag specific hazards at a site, such as chemical contamination or the presence of dangerous animals. Manual alert types are configurable and may vary by implementation. For more information, see the Alert Types page.

System Alerts

There are two types of automatically-generated system alerts: site alerts and portfolio alerts.

Site Alerts

Site alerts draw attention to issues at a site and are generated based on the system-required alert types. They appear in the right sidebar of the Site Details page under the “Alerts” heading, and under the “Site” heading on detail pages for submissions, permits, evaluations, or compliance actions associated with that site.

Clicking a site alert opens the record that prompted the alert. For example, clicking one of the alerts above opens the Permit Details page for that permit.

Site alerts are created for expired permits only if the Expired Permit Shows as Site Alert and as Dashboard Priority Item checkbox is selected for the permit category. For more information, see the Permit Categories page.

Portfolio Alerts

Portfolios are used to group related sites and summarize alerts across those sites. For example, a portfolio can represent shared ownership or a common operator.

If a site is part of a portfolio, the total number of site alerts for each alert type across all portfolio sites is displayed under the “Portfolios” heading on the Site Details page, as well as detail pages for submissions, permits, evaluations, or compliance actions associated with that site. By default, “$” represents outstanding balances, “C” represents active compliance actions, and “P” represents expired permits.

Clicking the View all alerts on [Portfolio Name] link opens a detailed view of all portfolio alerts, organized by site. From this view, users can click a site to view its details or click the Manage Portfolio button to access the portfolio, provided they have the “Portfolios - Administrator” security permission.

Manual Alerts

Manual alerts can be added to a site to flag known hazards or other important issues affecting the site. They appear in the right sidebar of the Site Details page under the “Alerts” heading and are identified by the style and symbol defined for their alert type.

Adding Manual Alerts

To add a manual alert:

  • Open the Site Details page for the site where the alert will be added.

  • Click the Edit Alerts button in the right sidebar to open the Alerts panel, which lists any existing manual alerts.

  • Click the Add Alert button. A new row appears in the list.

  • Select the alert type from the Type field (for more information on alert types, see the Alert Types page).

  • If the alert is temporary, enter an end date.

  • If necessary, add a comment with more details about the alert. Comments are displayed beneath the alert on the Site Details page.

  • Click the Save button. 

  • Click the Close button to return to the Site Details page.

Editing Manual Alerts

To edit an existing manual alert:

  • Open the Site Details page for the site with the alert.

  • Click the Edit Alerts button in the right sidebar to open the Alerts panel.

  • Select the alert and click the Edit button.

  • Make necessary updates to the End Date or Comment fields. The Type field cannot be edited after an alert is created.

  • Click the Save button.

  • Click the Close button to return to the Site Details page.

Once created, manual alerts cannot be deleted. To stop a manual alert from displaying on detail pages, enter an end date in the past.
