Submitting and Processing an External User Request to Join a Site

Overview

A member of the public can request access to join a site. This is accomplished through the following steps which are further described below:

  • The public user creates an nVIRO account (if they do not already have one).

  • The registered external user finds the desired site and submits a request to join the site (aka. “claim a site”).

  • One of two methods are performed to approve the request:

    • Approval by internal user with administrative privileges from the Access Requests list.

    • Approval by either an internal or external user from the Site Authorized Users list.

Public User Creates an nVIRO Account

Users must already have an nVIRO account and be logged in to nVIRO to claim a site.

Users should follow the regular process for creating and verifying an account, as described on the Creating External Users page.

External User Find and Submit a Join Request

After logging in, the Welcome page displays a section titled "Managing Information for an Existing Facility, Project, or Site". Within this section, there is a link to search for a site using nSITE Explorer. (The link text might vary, depending on agency and nVIRO configuration. Also, in some implementations, the link may not appear in this section.) Click the link to open nSITE Explorer.

Search for the site using the available search options. When the selected site is located either in the search result list or displayed on a map, select the site by clicking on the search result item or the pin icon displayed on the map. The Site Profile panel is displayed.

Click the Claim this Site button on the Site Profile panel. The user is prompted to enter a name, email address, and phone number. Enter this information and click the Submit button.

The claim request is now submitted and will be reviewed by either an existing, active site administrator (member of the regulated community that is previously affiliated with the site) or by an authorized agency representative.

A notification email is sent to all of the following individuals, notifying them of the new request:

  • Existing, active Site Administrators (registered external users).

  • Agency Site Managers assigned to the site for which the claim was submitted.

  • Agency Permit Managers for any active permits on the site for which the claim was submitted.

Approval Method 1 - From the Admin menu

This method may only be used by internal users who have security administration privileges. Please see the page below for the steps.

Approval Method 2 - From the Site Authorized Users list

This option can be performed by any internal agency user as well as external users with a role of Administrator on the selected site. This allows external site administrators to take charge of the vetting process, reducing the burden on agency staff to process claim requests.

Note: the site dashboard will show pending join requests:

From the Site navigation menu, select the "Authorized Users" menu item. Note that this screen lists three sets of user information:

  • Pending Access Requests

  • Pending Invitations

  • Authorized Users

Review the list of pending access requests. For each request, follow established business procedures to establish credibility of the claim, and choose to either Approve or Deny the request.

The Approve option will trigger an account invitation email to be sent to the user's email address. The email will contain a one-time link that will grant the user access to the site.

If choosing to Approve:

  • Select the appropriate role for the user (Viewer, Editor, or Administrator).

  • If the user will be submitting forms and reports requiring certifier rights, select the Approve Certifier Status checkbox (If the Administrator role is selected, the box is automatically checked.)

If the Approve Certifier Status checkbox is selected, some implementations are configured to set the invited user's Certifier Access status to Pending, while some implementations automatically set the Certifier Access status to Approved.

Certain nVIRO implementations may not display this checkbox.
